How to Process Credit Card Transac PDF Print E-mail

Use the following procedures to process credit card transactions from your customers using the Credit Card Processing module. The following procedures assume that the Enable Batch Authorizations check box is cleared on the Company Maintenance Servers tab.
NOTE If the Enable Batch Authorizations check box is selected on the Company Maintenance Servers tab, credit card transactions are not sent for authorization when you click Accept in the Sales Order Entry, Sales Order Invoice Entry, or Cash Receipts Entry window; instead, credit card authorizations occur in batches when the Sales Order Batch Authorization report, Sales Journal or Cash Receipts Journal is printed. When this check box is selected, you can still click Authorize Now (in the Sales Order/Invoice Credit Card Information and A/R Cash Receipt Credit Card Information windows) to individually authorize a credit card transaction.

? To create a credit memo for an invoice paid by credit card in the Sales Order module

To process a deposit against a sales order or invoice   

1 On the Sales Order Main menu, click either Sales Order Entry or Invoice Data Entry.

2 Create an order/invoice.

3 On the Totals tab, verify that Credit Card is selected at the Payment Type field and the credit card you want to use displays at the Credit Card Number field.

4 Select the Deposit check box. At the Deposit Amount field, enter a deposit dollar amount and click Accept.

Click the Credit Card Information button. In the Sales Order/Invoice Credit Card Information window, enter the deposit information and click Authorize Now.

The deposit entered is processed as a sale transaction in the PCCharge Payment Server.
NOTE If the Enable Batch Authorizations check box is selected on the Company Maintenance Servers tab, print the Sales Order Batch Authorization report to start the credit card batch authorization process. The deposit entered is processed as a sale transaction in the PCCharge Payment Server.
To process a deposit and pay the balance when shipped/invoiced  

1 On the Sales Order Main menu, click either Sales Order Entry or Invoice Data Entry.

2 Create an order/invoice.

3 On the Totals tab, verify that Credit Card is selected at the Payment Type field and the credit card you want to use displays at the Credit Card Number field.

4 Click the Credit Card Information button.

5 In the Sales Order/Invoice Credit Card Information window, select the Deposit check box.

6 Enter a deposit amount.

7 Select the Pay Balance by Credit Card check box.

8 In the Sales Order/Invoice Credit Card Information window, click Authorize Now.

In the Sales Order Entry or Invoice Data Entry window, click Accept.

The deposit that is entered is processed as a sale transaction and the remaining order/invoice balance is pre-authorized in the PCCharge Payment Server. When the invoice is created and the Sales Journal is updated, a post authorization is processed in the PCCharge Payment Server on the remaining balance.
NOTE If the Enable Batch Authorizations check box is selected on the Company Maintenance Servers tab, print the Sales Order Batch Authorization report to start the credit card batch authorization process. The deposit entered is processed as a sale transaction and the remaining order/invoice balance is pre-authorized in the PCCharge Payment Server. When the invoice is created and the Sales Journal is updated, a post authorization is processed in the PCCharge Payment Server on the remaining balance.

To process a sales order or invoice  

1 On the Sales Order Main menu, click either Sales Order Entry or Invoice Data Entry.

2 Create an order/invoice.

3 On the Totals tab, verify that Credit Card is selected at the Payment Type field and the credit card you want to use displays at the Credit Card Number field.

4 Click Accept.

Click the Credit Card Information button. In the Sales Order/Invoice Credit Card Information window, click Authorize Now.

WARNING If you are entering a one-step invoice and the Enable Batch Authorizations check box is selected, it is recommended (though not required) that you click Authorize Now to perform a credit card pre-authorization on the invoice amount. Pre-authorizing the credit card amount is a safety precaution in case the credit card sale transaction fails during the Sales Journal update.

The sales order/invoice total is pre-authorized in the PCCharge Payment Sever. When the invoice is created and the Sales Journal is updated, the invoice will then be post-authorized.
NOTE If the Enable Batch Authorizations check box is selected on the Company Maintenance Servers tab, print the Sales Order Batch Authorization report to start the credit card batch authorization process. The sales order total is pre-authorized in the PCCharge Payment Server. When the invoice is created and the Sales Journal is updated, a post-authorization is processed in the PCCharge Payment Server on the remaining balance.

To process a previously updated invoice  

1 On the Accounts Receivable Main menu, click Cash Receipts Entry.

2 In the Cash Receipts Deposit window, select Credit Card at the Deposit Type field and enter the remaining fields.

3 In the Cash Receipts Entry window, enter a credit card number at the Card Number field.

4 Create the receipt.

5 Click Accept.

Click the Credit Card Information button. In the A/R Cash Receipt Credit Card Information window, click Authorize Now.

The receipt entered is processed as a sale transaction in the PCCharge Payment Server.
NOTE If the Enable Batch Authorizations check box is selected on the Company Maintenance Servers tab, print the Cash Receipts Journal to start the credit card batch authorization process. The receipt entered is processed as a sale transaction in the PCCharge Payment Server.
To create a credit memo for an invoice paid by credit card in the Sales Order module  

1 On the Sales Order Main menu, click Invoice Data Entry.

2 Enter the credit memo. Click the Header tab.

3 At the Applied to Inv # field, enter the original invoice number that was paid with the credit card. The information for the payment type and credit card number from the original invoice appears.

NOTE You must use the same credit card number(s) of the original invoice when processing the credit memo.
