How to post transaction journals? PDF Print E-mail

To post transaction journals

1 On the General Ledger Setup menu, click Source Journal Maintenance.

2 At the Source Journal field, enter a source journal code for the Bank Reconciliation module. For example, BR.

3 At the Description field, enter the description for the source journal. Click Accept.

4 On the General Ledger Main menu, click Transaction Journal Entry.

5 At the Source Journal field, enter the code created in step 2.

6 At the Entry Number field, click the Number icon to assign the next available number.

7 At the Posting Date field, enter the transaction date, such as the check date or deposit date, for the line entry. The posting date determines the accounting period against which the journal will be posted.

8 At the Journal Comment field, enter the comment for the journal entry.

9 Click Format. The Transaction Journal Format window appears.

10 At the Debit/Credit field, select Debit if you are decreasing cash. Select Credit if you are increasing cash. This field is the offset to your cash account.

11 At the Offset Account No. field, enter your cash account number from the general ledger.

12 Select the Batch Total check box to enter a batch total amount to be checked against the total distribution amount. You can then enter a batch total on the Transaction Journal Entry Main tab. Clear the check box if you do not want to enter a batch total amount.

13 At the Check Numbers field, select Yes if this distribution entry represents a check type transaction. This causes the Check No. field on the Lines tab to increment to the next check number automatically. Select No if this distribution entry is not a check type transaction. Select Deposit if this distribution entry is a deposit. Select Adjustment if this distribution entry is an adjustment.

14 At the Bank Code field, select the bank code that coincides with the account number entered at the Offset Account No. field. Click OK. This field is not available if No is selected at the Check Numbers field.

15 The Debit/Credit to Account field on the Header tab will include the information entered on the Transaction Journal Format window. If the entry is increasing cash, verify that this is labeled Debit to Account, if the entry is decreasing cash, verify that this is labeled Credit to Account. Click Accept.
